TEXAS MEDICAL ASSOCIATION INSURANCE TRUST (TMAIT) TMAIT FINANCIAL SERVICES, INC. (TFSI)

Privacy Policy

The staff of TMAIT/TFSI respect the privacy of TMA members and TMAIT/TFSI customers. We are happy to share our policy regarding privacy information that is collected and how that data is used.

Throughout its existence, TMAIT/TFSI has recognized that the insurance plans provided to TMA physicians, their dependents and their employees involves the processing and maintenance of data that is both personal and confidential to the covered person. As a result, the TMAIT/TFSI, its staff and its insurance carriers accept responsibility to make certain that such information is held in the strictest confidence.

All data is stored in formats that meet or exceeds standards defined by HIPAA. All data transfer is executed using similar standards that meet or exceed HIPAA standards.

The importance of security for all personal information associated with you is of utmost concern to us. Personal information collected by TMAIT/TFSI is stored in secure operation environments that are not available to the public. Only those employees who need access to your information in order to do their jobs are allowed access, each having signed confidentiality agreements. Any employee who violates our privacy or security policies is subject to disciplinary action, including possible termination and civil and/or criminal prosecution.

Any information that you submit to us whether an insurance application, a survey, fax, registration form or e-mail will be used exclusively by the appropriate TMAIT/TFSI staff and only for the specific reason for which you submitted it. Before releasing any information contained in a person’s record to a third party (other than the beneficiary or executor in the event of death, or as specifically required or permitted by state or federal law), the consent of the person must be received.

Any request for the release of medical information from a person’s record which is made by an attorney, a doctor or a Texas Department of Insurance official is referred to the insurance carriers for proper handling.

Personal medical information for employee participants in the TMAIT/TFSI insurance plan is never shared with the employers of those participants.

Personal medical information is not used for purposes other than underwriting coverage applications or the processing of claims and is never provided to an external party without the person’s permission.

We take every reasonable precaution to protect your personal information including encryption and passwords when appropriate.

TMAIT/TFSI is the sole owner of the information collected. We will not sell, share or lease this information to others with the exception of the insurance carrier(s)/providers for which you have applied for insurance coverage, requested a quote or other such requested business process initiated by you. TMAIT/TFSI does not sell any customer lists or e-mail addresses, or other data.

Except as described in this Policy, we do not use information for any promotional or marketing purposes, nor is that information shared with any third parties whatsoever.

Acceptance

By submitting information to TMAIT/TFSI, you signify your acceptance of the TMAIT/TFSI Privacy Policy. If you do not agree to this policy, you should not use our services. If TMAIT/TFSI decides to change the Privacy Policy, we will post those changes prominently so users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. We do, however, recommend that you read this Privacy Policy each time you contact TMAIT/TFSI or use our website in case you missed our notice of changes to the Privacy Policy. Your continued use of the services and site following the posting of changes to these terms will mean you accept those changes.
